Track and follow up

How to Track Direct Mail: QR Codes and Attribution

Direct mail used to be hard to measure. Now each card can carry a unique QR code and personal URL, so you know who responded, when, and what they did next. The work is setting it up before the cards go out.

Can you track direct mail?

Yes. Give every recipient a unique QR code and short URL that leads to their own landing page. When they scan, you know who it was, and your CRM can alert sales and record the visit against their record. Add a campaign tag to every contact you mail so meetings and opportunities can be traced back. Yotru explains how unique QR codes work.

What should you track?

Track the whole path, from mail date to revenue: delivered, scanned or visited, engaged on the page, replied or booked, meeting held, opportunity created, deal won. Add the costs so you can calculate cost per meeting and per opportunity. Yotru’s tracking checklist lists each metric.

How do you attribute pipeline to direct mail?

Use two methods together. Direct attribution counts responses that came through the card’s QR code or URL. Influenced attribution counts opportunities at mailed accounts that weren’t mailed in a holdout group, compared over the same period. A holdout, a share of the list that you don’t mail, is the cleanest way to see mail’s real effect. Wider attribution is covered in marketing attribution for SaaS.

What must be set up before mailing?

  1. A unique QR code and short URL per recipient.
  2. A landing page per person or segment, fast on mobile.
  3. A campaign tag on every mailed contact in the CRM.
  4. Scan alerts routed to the account owner.
  5. A holdout group that isn’t mailed.
  6. A dashboard with each funnel step and cost.

Providers such as Yotru generate the codes, pages and alerts as part of the campaign. The next step after an alert is in direct mail follow-up.

Founder rule

Set up tracking before you print.

Tracking can’t be added after the cards are in the mail. Build it into the campaign from the start.

How do you read the results?

Look at scans in the first two weeks, meetings in the first month and pipeline over a sales cycle. Compare mailed accounts with the holdout. Turn the results into cost per meeting and return with direct mail ROI, and compare with targets from direct mail response rates.

Frequently asked questions

Can you track direct mail?

Yes, with unique QR codes and short URLs per recipient, personal landing pages and CRM campaign tags.

Can you tell which prospect scanned a postcard?

Yes, if each card has a unique QR code tied to that person.

What is the difference between a static and unique QR code?

A static code is the same on every card and only shows campaign totals. A unique code identifies each person.

How do you attribute leads to direct mail?

Count direct responses through the card’s code or URL, and compare mailed accounts with an unmailed holdout group.

What metrics should I track for direct mail?

Delivery, scans or visits, page engagement, replies, meetings, opportunities, revenue and cost per step.

When should tracking be set up?

Before printing. Codes, pages, CRM tags and alerts must exist when the cards are mailed.
