HubSpot Lifecycle Stages and Lead Status
Lifecycle stage says where a contact or company is in the buying journey. Lead status says what sales is doing about it. Most funnel reports in HubSpot depend on both being set the same way every time.
What are HubSpot lifecycle stages?
A default property with stages from subscriber to customer and evangelist: subscriber, lead, marketing qualified lead, sales qualified lead, opportunity, customer, evangelist and other. Stages normally move forward only. Write a definition for each and set them with workflows, not by hand.
| Stage | Example definition |
|---|---|
| Subscriber | Signed up for the newsletter only |
| Lead | Gave contact details through a form or import |
| MQL | Fits the ICP and took a high-intent action, such as a pricing visit |
| SQL | Sales accepted and booked a call |
| Opportunity | An open deal exists |
| Customer | A deal closed won |
What is lead status?
A separate property for what sales is doing with the contact: new, attempting to contact, connected, open deal, unqualified, bad timing. Lifecycle stage tracks the journey; lead status tracks the work. Together they show where leads stall. How marketing hands leads to sales is in lead scoring and routing.
Which rules should set the stages?
- Form submission sets lead.
- ICP fit plus a high-intent action sets MQL.
- A booked meeting or sales acceptance sets SQL.
- A deal created sets opportunity; HubSpot can sync this automatically.
- Closed won sets customer for the contact and company.
Feed contacts in from forms and campaigns in Marketing Hub.
Which reports depend on them?
Conversion between stages by source, time in stage, and MQL to SQL rate. These only work if stages are set by rules and never skipped by hand. Build them as in HubSpot reporting. Funnel benchmarks and definitions are covered in SaaS funnel stages.
Agree on MQL in writing.
If marketing and sales define a qualified lead differently, every report will start an argument.
How do you set them up?
- Write a one-line definition for each stage with sales.
- Hide stages you won’t use.
- Build workflows that set each stage.
- Add lead status values that match your sales process.
- Check a sample of 20 contacts each month.
