UTM Tracking: Naming Rules That Hold

UTM parameters are tags on links that tell analytics where a visit came from. They only work if everyone uses the same values. A short naming rule, a shared builder sheet and capturing UTMs on forms fix most attribution confusion.

What are UTM parameters?

Tags added to a link, such as ?utm_source=linkedin&utm_medium=paid_social&utm_campaign=q4_logistics. Analytics tools read them to credit the visit. GA4 uses source and medium to build channel groups, so wrong values put traffic in the wrong channel. Reports on this are in GA4 setup for SaaS.

utm_mediumType of channelpaid_social, email, cpc, referral
utm_campaignWhich campaignq4_logistics_webinar
utm_contentWhich ad or linkvideo_pov_hook
utm_termKeyword or audienceroute_planning

What naming rules should you use?

  • Lowercase only, with underscores instead of spaces.
  • A fixed list of mediums matching GA4 channel definitions: cpc, paid_social, email, referral, display.
  • Campaign names as quarter, topic and format.
  • Never tag internal links on your own site; it overwrites the real source.
  • Use auto-tagging for Google Ads and Microsoft Ads alongside UTMs where needed.

How do you keep the team consistent?

Keep a shared builder sheet with dropdowns for source and medium and a formula that builds the link. Everyone, including agencies and partners, builds links there. Name events to match your event tracking plan.

How do you keep UTMs in your CRM?

Capture the UTMs on landing and store them in hidden form fields or a first-party cookie, then pass them to the CRM with the lead. That connects revenue to campaigns long after GA4’s view of the session. How to use that data is covered in SaaS marketing attribution; server-side options are in server-side tracking.

Founder rule

Agree on the names before the campaign.

Fixing UTMs after a quarter of mixed values costs far more than a five-minute rule.

How do you clean up UTMs?

  1. Export last quarter’s source and medium values from GA4.
  2. Map the messy values to your new list.
  3. Publish the naming rules and builder sheet.
  4. Update links in ads, emails and partner pages.
  5. Check new values monthly and fix strays.

Frequently asked questions

What are UTM parameters?

Tags on links that tell analytics tools the source, medium and campaign of a visit.

Which UTM parameters are required?

Source, medium and campaign. Content and term are optional.

Should UTMs be lowercase?

Yes. Analytics tools treat different cases as different values.

Should I use UTMs on internal links?

No. Internal UTMs overwrite the real source of the visit.

Do I need UTMs for Google Ads?

Auto-tagging handles Google Ads in GA4. Add UTMs if other tools need the data too.

How do I get UTMs into my CRM?

Capture them on landing and pass them through hidden form fields with the lead.
