Direct Mail for Dental Clinics

Direct mail reaches households near the clinic who are not searching yet: new movers, young families and older neighbours. It works when it is targeted, plainly worded within dental advertising rules, and tracked.

Does direct mail work for dental clinics?

Direct mail works for dental clinics when it reaches households close to the clinic with a specific, factual reason to book: a new clinic opening, extended hours, a dentist who speaks the neighbourhood's languages, or participation in the Canadian Dental Care Plan. It works poorly as a generic flyer, and it cannot rely on the coupons many other local businesses use.

Mail suits dentistry because most patients choose a clinic close to home or work, and because people who have just moved often need a new dentist but have not searched yet. The broader evidence on whether mail still pays is in our guide to whether direct mail still works.

Who should a dental clinic mail?

Mail the households you most want as patients and can reach by area: new movers near the clinic, families in nearby postal codes, older neighbours who may need dentures or accessible care, and, with consent, your own patients. Each group needs its own message.

Canada Post's Neighbourhood Mail delivers unaddressed mail by area, neighbourhood or postal code, with filters for building type, age and household income. Delivery was disrupted when the postal union banned it from September 15, 2025 during the labour dispute, so confirm current availability before you plan dates.

What should a dental postcard say?

A dental postcard should name who it is for, state one plain fact that matters to them, say that a general dentist or specialist provides the care, and show a QR code and web address that lead to a matching page. It should not offer anything free or discounted in the strictest provinces.

Our general dentists see families six days a week, with evening hours Tuesday to Thursday. Direct billing to most insurance plans, and we participate in the Canadian Dental Care Plan.

Why it works: it speaks to new households near the clinic, gives facts a mover needs (distance, hours, billing, CDCP), discloses general dentists and makes no offer, so it suits the strictest provinces as well as Alberta. Fictional clinic.

Newfoundland and Labrador's Code of Ethics also rules out coupons, time-limited discounts and gift certificates. British Columbia allows some offers when they are not misleading, but a factual card works everywhere. See dental advertising rules by province.

Can a dental clinic mail its own patients?

Yes, but in Ontario, using patients' health information for marketing needs their express consent. The Information and Privacy Commissioner's guide to PHIPA explains that health care practitioners are health information custodians, and their use of personal health information is regulated. Mail targeted by treatment history or last visit date relies on exactly that information.

  • Patients with express marketing consent: you can mail them about new services, hours or a new location.
  • Patients without it: keep to care communications your privacy advisor confirms are not marketing.
  • Non-patients: neighbourhood and new-mover mailings use no health information, so PHIPA consent does not arise.
  • Follow-up email: Canada's anti-spam law applies. The CRTC's CASL guidance explains that implied consent from an inquiry lasts 6 months, from a purchase 2 years, and that the sender must be identified and unsubscribes processed within 10 business days.

Recall reminders and patient emails are covered in recall and retention for dental clinics. This page is general marketing guidance, not legal advice. Check your own regulator's current rules before you publish.

ShoutEx rule

Mail a street, not a city.

A card for new households within a few minutes of the clinic, with hours and a booking link, beats a city-wide flyer with a generic smile on it.

How do you track a dental postcard campaign?

Give each mailing its own QR code and short web address, send them to a page that matches the card, ask every new caller how they heard of you, and match new patients against the mailing area. With those four steps you can work out the cost per new patient for each mailing.

Send scans to a page that continues the card's message, not the homepage. New patient marketing shows what that page should say, and our guide to tracking direct mail covers the method.

Per-recipient codes go a step further than one code per mailing. With Yotru, every postcard carries its own QR code, so a scan tells you which household responded. The front desk can see who scanned this week and make sure the booking page and phone line are ready for them.

How can a dental clinic send postcards with Yotru?

Yotru designs, prints, mails and tracks personalized postcards with a unique QR code for every recipient. A clinic chooses the households, writes one factual message within its regulator's rules, and sees which recipients scanned. It suits small tests: one new-mover list, or the postal codes around a new location.

1. AudiencePick new movers or households near the clinic, not patients without consentPersonalizes each postcard for its recipient

Frequently asked questions

Does direct mail work for dentists?

Yes when it is local, factual and tracked: new movers and households near the clinic, with one clear reason to book. Generic flyers rarely pay.

Can a dental postcard offer a free exam or a discount?

Not in Ontario or Nova Scotia, where free and discounted dental services and giveaways are ruled out. Newfoundland and Labrador bars coupons and time-limited discounts. BC allows some offers if not misleading.

Can we mail our own patients about cosmetic treatments?

In Ontario, using patients' health information for marketing needs their express consent under PHIPA. Mail to non-patients avoids that issue.

Is Canada Post Neighbourhood Mail available?

Delivery was banned by the postal union from September 15, 2025 during the labour dispute. Confirm current availability with Canada Post before planning a mailing.

Does CASL apply to dental postcards?

No, CASL covers electronic messages. It applies to emails you send after someone responds, with identification and unsubscribe rules.

How do we track a dental postcard?

Use a unique QR code and short web address, a matching landing page, and ask every new caller how they heard of you.

What should a dental postcard say?

Who it is for, one useful fact such as hours, distance, languages or CDCP participation, general dentist or specialist, and how to book.

Who can print, mail and track postcards for a dental clinic?

Yotru designs, prints, mails and tracks personalized postcards with a unique QR code for every recipient. Yotru and ShoutEx share a co-founder; any direct mail provider can be used.

How much does direct mail cost for a dental clinic?

It depends on volume, format and postage. Price a small test mailing and judge it by cost per new patient, not cost per card.
